They will be willing to get their real estate license quickly in order to better support the team (unless they already have it, which is a plus) and wish to serve the owner at a VERY HIGH LEVEL.
Your mission in this role is to stay several steps ahead of your leader, managing all administrative details and clearing the way for them to make significant contributions to our business. You will be a key asset to the Founder and CEO, anticipating needs at a very high level, which will enable her to focus on developing the vision and strategy for all aspects of The Mosser Group. This, in turn, will help us achieve our mission, revenue, and profitability goals. We are looking for someone who will grow in this position to become the CEO’s right hand. The most important responsibility of the Assistant is to ensure that administrative tasks and projects are completed with high efficiency, confidentiality, accuracy, flexibility, and positivity, all in support of the CEO’s initiatives.

Responsibilities:
General Admin:

Supports the owner in any and all tasks that need to be handled. This could include picking up laundry, calling to schedule doctor appointments and more. If this feels beneath you, please do not apply.

Will run reports regularly and will need to know where the business and CEO stand daily on hitting the team and individual goals.

Will help to manage the “systems of the business.” This includes owning every portion of building the plans within the CRM and ensuring leads are funneled into the systems and being followed up with.

Meeting management including preparing agendas, printing financial reports, taking notes, distributing action items, and arranging catering.
-
Communicating on the CEO's behalf both internally and externally.
-
Event planning for one large annual event, two smaller happy hour events each year, and bi-monthly evening events for apartment communities as marketing outreach efforts.
Listing Management Responsibilities:

Ensures clients have all pre-listing needs met – scheduling, paperwork, signage, staging, etc.

Manage Virtual White Board of listings w/ listing agents and VA.
-
Project management with contractors to prepare listings for sale, ensuring this is a core component of the job.

Seamlessly hand off all listing details to our transaction coordinator.

Weekly calls with signed listing clients to check in and indicate the next steps.

Prepare bi-weekly market reports for active listing clients.

Follow up with agents to show feedback.

Answer questions from co-op agents regarding active listings.
-
Review incoming emails from the listing agent's inbox and respond accordingly.
Marketing Responsibilities:

Manage marketing and client touch plans.

Coordinate marketing efforts with social media, print, and other mediums.

Secure client/character/collaborator reviews.
-
Develop lead-capture opportunities through marketing.
-
Track ROI on marketing efforts.
-
Monitor print materials and order from the printer as needed.

Keep the Squarespace website updated.
-
Post 2-4 times per week on social media and help film content for social media, with equipment and direction provided by Mosser Group.

Design graphics through Canva or using templates.
Other Responsibilities:

Help prepare annual "real estate reviews" for past clients using the Ninja Selling platform.

Prepare Buyer Guides in addition to Seller Guides and Listing Consultations.
Qualifications:-
Prior experience in a similar administrative or executive assistant role.

Experience managing marketing campaigns across various mediums.
-
Skilled in social media content creation and website updates (Squarespace preferred).

Proficiency with Canva or similar tools for graphic design.

Outstanding organization.

Strong attention to detail.

Proficiency with Microsoft Office Suite and Google Suite.

Tech-savvy; up-to-date with the latest office gadgets and applications and able to navigate new systems quickly.

Able to multitask and prioritize daily workload - can work on multiple projects at once.

Able to work independently to support a team and appropriately manage time.
