The Brazos Valley Council of Governments (BVCOG) has a full time opening for an Administrative Assistant in the Information Technology department. In this role, the Administrative Assistant performs advanced administrative support, technical program assistance or entry level technical computer support for the Information Technology Department. Work involves coordinating the dissemination of information, developing filing systems, and coordinating internal administrative support work. Works under limited supervision, with limited latitude for the use of initiative and independent judgment.
DUTIES AND RESPONSIBILITIES:
1. Acts as receptionist for the Information Technology Department and coordinate daily staff schedules.
2. Interprets and evaluates information concerning department policy and procedures and makes recommendations as appropriate.
3. Responsible for all paperwork involved in purchasing of equipment, repairs and services.
4. Coordinates the preparation, editing, and distribution of correspondence, reports, studies, forms, and documents.
5. Coordinates general office duties such as ordering supplies for the department, preparing cubical for new employees or employees leaving the agency
6. Coordinates and evaluates paperless filing, record-keeping, and records management systems
7. Coordinates meetings and conferences. Includes room reservation and room set up, coordinating food, and clean up.
8. Develops and reviews administrative and technical policies, procedures and research technical issues.
9. Responds to inquiries regarding technical program or administrative regulations, policies, and procedures.
10. Provides assistance answering and routing phone calls, taking messages, greeting and directing internal and external staff to the appropriate technical staff.
11. Coordinate and assist in the Annual inventory and disposal of equipment.
12. Coordinate the research and editing of internal agency publications such as user request, forms, manuals, and reports.
13. Develop, edit, and review training materials for IT staff members.
14. Creation, deletion of user accounts, badges, and desktop phone setup.
15. Assist in maintaining the helpdesk tickets.
16. Create, curate, and manage published content (images, video, written) across various platforms (Facebook, Twitter, LinkedIn, YouTube, etc.).
17. Performs related work as assigned..
GENERAL QUALIFICATION GUIDELINES:
Experience and Education
Experience in administrative support work and computer systems. Graduation from an associate degree program or two years of experience may be substituted for 1 year of post-secondary education.
Knowledge, Skills, and Abilities
- Knowledge of office practices and administrative procedures.
- Microsoft Office Skills including excel.
- Good time-management skills.
- Skill in the use of standard office equipment. Knowledge & techniques in computer operations
- Ability to implement new administrative systems and procedures and to evaluate their effectiveness; to interpret rules, regulations, policies, and procedures; to communicate effectively; and to supervise the work of others.
SALARY RANGE:
$17 to $20 per hour DOQ
