Responsibilities:
- Assist physical therapists with patient care and treatment
- Set up equipment and prepare treatment areas for therapy sessions
- Clean and maintain therapy equipment and supplies
- Escort patients to and from treatment areas
- Schedule appointments and manage patient records
- Perform administrative tasks such as filing, data entry, and answering phone calls
- Provide support to the physical therapy team as needed
Administrative Support:
- Manage and maintain office supplies, equipment, and inventory, both in-office and remotely.
- Answer and direct phone calls, text messages, emails, and inquiries, handling them both in-office and remotely.
- Assist with scheduling appointments, meetings, and conferences, utilizing in-office and remote scheduling tools.
- Draft, edit, and proofread documents and reports, whether in-office or remotely.
- Handle incoming and outgoing mail and packages, including remote coordination.
Office Organization:
- Ensure the office is clean, organized, and presentable, both in-office and remotely.
- Arrange office layout and workspace allocation
- Maintain filing systems and records, with the ability to access and update remotely.
- Monitor and order office supplies as needed
Data Entry and Record Keeping:
- Enter data accurately into spreadsheets and databases, with the flexibility to do so
- Maintain and update employee records, ensuring accuracy
- Assist in running reports required for payroll and expense report processing, managing this task from both in-office and remote locations.
- Generate reports and summaries as required, using remote data access and reporting tools.
Clinic Duties:
- Run reports and assist with billing, including remote billing tasks.
- Check and reply to office emails, phone calls, text messages and faxes throughout the day
- Communicate with team/staff members regarding day-to-day operations, including scheduling, customer service, authorizations, billing, and client information.
- Share responsibilities in telephone communications for home-based and community sessions, managing calls from both in-office and remote settings.
- Verify all patients for their therapy encounter, including insurance verifications, demographics, and prescriptions, ensuring updates in the EMR system (Prompt EMR), both in-office and remotely.
- Assist the billing specialist as needed, with experience in CPT codes for PT, OT billing being a plus.
- Assist with insurance credentialing of staff through online PECOS systems for Medicare, handling this task
- Assist with weekly reports from the EMR system and communicate information to the shared drive with office/clinical leads
- Assist with daily business functions, including monthly vendor billing, website management, and handling marketing inquiries, with the flexibility to perform these tasks
Qualifications:
- Previous experience in a clinic or healthcare administrative role is preferred.
- Strong organizational and communication skills, adaptable to both in-office and remote work environments.
- Proficiency in using EMR systems, Prompt EMR experience is a plus.
- Knowledge of CPT codes for PT, OT, SLP billing is beneficial.
- Ability to multitask and work effectively in a fast-paced, hybrid work setting.
Salary
$18 - $24 per hour
Experience:
- Previous experience working in a medical office or healthcare setting is preferred
- Familiarity with medical office management software and systems
- Knowledge of QuickBooks for managing financial transactions desired but not needed
- Proficient in operating phone systems and handling incoming calls
- Experience with payroll processing and vendor management is a plus
- Ability to supervise and coordinate tasks effectively
- Strong event planning skills for organizing workshops or seminars
- Excellent clerical skills including calendar management and office organization
Please note that this position does not involve providing direct physical therapy services or making clinical decisions. The primary focus is on providing support to the physical therapy team and ensuring smooth operations within the clinic.
