Job Summary
Responsible for successful management of Finished Goods to meet the demanding needs of a customer-driven food service as well as directing and motivating Picking staff and volunteers to perform in the highest quality, most productive, cost-conscious, and safe manner. The Distribution Manager is responsible for assuring that all food items for all programs and events reach all desired destinations in a safe, sanitary and efficient manner daily as well as the management of all distribution staffing.
Supervisory Responsibilities
Oversee staff members in the Distribution Department which includes, Senior Center Drivers, POH home delivered meals drivers, Good Measure Meals drivers and Meal Plan Picking staff.
Duties/ Responsibilities

Leading by example, consistently and effectively guide Picking teams to a culture of excellence in every aspect of work life, including but not limited to product quality, cleanliness, hygiene, equipment maintenance, communication, teamwork, professionalism, safety, cost-consciousness, etc.

Trains and monitors staff to ensure adherence to SOPs, HACCP, sanitation schedule, and employee safety practices.

Provides a strong presence on the manufacturing floor monitoring efficiency, accuracy, and compliance to process controls.

Leads daily shift meetings with Finished Goods and Picking team members.

General housekeeping and organization; encourages safety by insisting on a clean, safe work environment, and ensures that employees are following prescribed safety procedures, which includes each employee wearing the proper food safety and personal protective equipment.

Controls labor hours, and plans and manages work flow to ensure schedule attainment without sacrificing the quality and safety of Finished Goods. Effectively prioritizes work orders based upon need for product and order types. Ensures smooth work transition, product flow and minimal waste. Identifies and addresses specific constraints that prevent achievement from schedule and communicates with appropriate data if schedule is unattainable.

Supervises volunteer labor, ensuring a mutually beneficial experience for both volunteers and Open Hand/Good Measure Meals.

Consistently and accurately documents production data, issues, observations, and needs in daily Shift Notes.

Closely monitors and effectively manages data in SharePoint (Substitution Log, Change Order Calendar, Quality Assurance/Needs Action Log, Damaged Meal Log, Cycle Counts, etc.) to ensure schedule attainment, work orders are updated and properly communicated, errors corrected and/or prevented, and reproduction/redelivery needs are avoided.

Implements and enforces inventory management policies and procedures. Uses Cbord and leverages mobile inventory to improve transactional excellence and achieve real-time processing of requisitions and inventory status. Enforces processing of requisitions to completion.

Optimizes organization of inventory to drive proper product turnover including FEFO (first expired, first out).

Attends daily Quality Management Meetings. Provides status updates and progress towards objectives. Reports top issues and information that may be needed by management to resolve problems that have occurred and to identify and anticipate future issues and needs.

Ensures consistent real time/live quality control in which work does not begin and finished orders are not released without proper verification.

Collaborates with internal team players as needed to resolve supply issues and constraints. Builds and maintains the necessary relationships within Operations to be able to successfully influence and manage escalations on a daily basis.

Promptly and properly escalates food safety and quality issues and concerns with transparency. Ensures effective product isolation, hold, and release.

Investigates root causes of audit violations and applies timely corrective and preventive actions as applicable. Collaborates with Quality and management to ensure permanent resolution of errors.

Supports the implementation and maintenance of an effective on-boarding, skills assessment and training plan to ensure proper training, cross-training, continued growth and retention of subordinates. Follows through ensuring staff are accountable for their areas of responsibility and work quality.

Supports continuous improvement efforts.

With guidance from Plant Director and Quality, improves and implements processes and standards of work. Assures that SOPs are followed and updated in coordination with Quality, as process change occurs.

Assists in the planning for future expansion through creating new procedures and revamping current ones to meet future needs.

Oversees HR functions related to hiring, attendance, PTO, performance reviews, and disciplinary actions.

Disciplines employees following the company’s established disciplinary procedure. Documents coaching, training, and disciplinary actions via SharePoint Training Log.

Ensures maintenance of all equipment and collaborates with Facilities on equipment failure or malfunction.

Maintains a professional appearance at all times

Manage the daily assignment of routes to staff drivers, coordinating closely with Volunteer Services in an effort to utilize volunteers whenever possible rather than paid staff

Work closely with Director of Food Services to ensure smooth and efficient processes are followed and enhanced to facilitate food safety, packing, routing, and ultimate meal distribution

Manage customer service calls from Senior Center managers, home delivered meal clients, customers, and others as needed

Oversee driver safety and assist as needed when roadside assistance is needed for both staff and volunteer drivers

Ensure that all undeliverable or special delivery issues for home-delivered clients are reported to Client Services

Ensure that all titles, tags, and insurance needs are in place for all company vehicles

Oversee management of entire company fleet of vehicles

Oversight of prompt processing of all driver reports and documentations

Facilitate periodic driver meetings, goal setting sessions, crisis handling, disciplinary actions, recognition and incentive plans, and performance appraisals.

Occasional coverage of route delivery may be required

Education/Experience

High school diploma or general education degree (GED) and acceptable reading skills. Previous logistical, distribution, basic

Minimum of 3 years of successful supervisory experience in a food manufacturing facility (5 years of supervisory experience if there is no food production background).

Microsoft application skills, and proprietary program computer skills as well as former personnel management skills are preferred.
Physical Requirements
Employee must be able to lift at least 50 pounds and to stand for long periods of time. The job requires repetitive and continuous intensive physical labor and exposure to cold and freezing temperatures. Highly flexible to work, varying shift schedules during implementation of events. Operations are 5 days per week. The ability to work a full shift, come to work on time, work overtime as needed, be available to provide remote support, and the ability to work according to the necessary schedule to meet job requirements with or without reasonable accommodation is an essential function of this position.
