What do our Executive Assistants do?
Our Executive Assistant role is responsible for providing day-to-day administrative support to the ELT defined, and travel and accommodation arrangements for functional leaders reporting to the ELT member. This role will coordinate and manage executive scheduling, prepare and organize important strategic materials and plans, and support board meetings and the preparation of board material. Supports the ELT team with meetings and scheduling details.
Responsibilities include but are not limited to the following:

Enable the effectiveness and efficiency of the ELT supported

Responsible for delivering specific projects (e.g. events organization, presentation preparation).

Develop positive working relationships with a wide range of stakeholders and colleagues at all levels to ensure projects are complete.

Type and produce reports, letters, spreadsheets, presentations, graphics and other documents.

Carry out research and assemble information for use in reports and meetings.

Handle correspondence. Compose letters, memoranda and other documents from dictation, verbal direction or knowledge of the company’s policies and procedures.

Manage the calendar and schedule appointments and meetings for the assigned ELT.

Screen mail and telephone calls, direct requests to the appropriate person and follow-up replies. Where possible manage questions and requests on behalf of the ELT.

Organize travel arrangements (flights, hotels etc.) and process related expenses, providing itineraries.

Arrange meetings and functions with minimum direction ensuring that all elements are considered and dealt with effectively.

Use knowledge of the RNA to answer routine inquiries from various internal and external sources.

Organize and establish agendas and attend various meetings acting as recorder of the proceedings. Coordinate follow up actions.

Devise and maintain office systems to deal efficiently with paper flow and the organization and storage of paperwork, documents and computer-based information. Dealing confidentially with all information.
What do you need?
- 3 - 5 years working directly with a Senior Level Executive

High School Diploma required

College Degree Preferred

Outstanding communication skills with demonstrated ability to influence at all levels with a range of internal stakeholders

Able to demonstrate high levels of drive, work ethic and personal accountability with the ability to work under pressure while maintaining sound judgement and a rigorous focus on the details.

Strong problem solving and creative skills and the ability to exercise sound judgement and make decisions based on accurate and timely analyses. Strict attention to detail.

High level of trustworthiness and reliability with experience working in a fast-paced environment while attaining results.
