We are looking for an individual with a great personality to work in the front office in our clinic. Our Receptionist’s duties include offering administrative support across the organization. You will welcome and greet patients and provide excellent customer service. The front desk is the first point of contact with our patient's and making a good first impression is paramount! You will work as a team to perform front-desk duties, including answering, distributing and redirecting phone calls. Helping with health insurance verification, collecting patient intake data, collecting copay, coinsurance and deductibles from patients and posting to the patient accounts in the medical software. Coordinating care and patient flow are also important parts of the job. As with any job working with different personalities requires maturity, problem solving skills and a "team player mentality." Gossip, bullying or drama of any kind is not tolerated and not acceptable in the workplace. Pioneer is a very comfortable and friendly work environment but a high level of professionalism is expected. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. Multitasking and stress management skills are essential for this position. This is a fast paced job as you will be supporting multiple providers and be working with several patients in the clinic at any given time. This role does require a little flexibility as you may need to cover shifts for other staff members from time to time. Ultimately, a Receptionist’s duties and responsibilities are to ensure that patients feel welcome and are greeted with a positive attitude and a friendly face. Having a natural ability to connect with people and interact with them comfortably is essential for this job. Demonstrating confidence to the patients and doctors that you will be working with is paramount to your success on the Pioneer team.
HOURS:
Monday, Wednesday, Friday 7:00 A.M. to 2:00 P.M.
Tuesday, Thursday 12:00 P.M. to 7:00 P.M.
Closed Saturday and Sunday
Responsibilities
- Greet and welcome guests as soon as they arrive at the office
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Maintain office security by following safety procedures and controlling access via the reception desk
- Inventory front office supplies and keep inventory in stock
- Collect Co-pays, Co-insurance, deductible, cash, and credit card payments
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
- Rooming patients
- Assisting staff as needed
Skills
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- High school degree; additional certification in Office Management is a plus
- Efficient at typing
- Be willing to be teachable and make changes as office demands require
