Job Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to support the Chief Creative Officer by streamlining the daily operations of the creative department. This position requires a dynamic individual who excels in time management, multi-tasking, and communication. This role does not require client interaction.
Key Responsibilities:
· Participate in all client status calls, attentively take detailed notes, and report key takeaways to the COO.
· Regularly update client deliverable status reports to reflect the latest progress.
· Maintain and distribute project schedules using Excel.
· Calendar all internal project due dates and milestones, ensuring that they are clearly communicated to the team.
· Monitor project timelines and proactively follow up with team members to ensure deadlines are met.
· Review and verify weekly time entries submitted by employees, ensuring accuracy and alignment with completed tasks.
· Prepare and organize project-related documents and records for easy access and review.
· Facilitate internal communication to keep team members informed about project statuses, upcoming deadlines, and any changes in project plans.
· Assist the COO in coordinating team efforts and resources for efficient project execution.
· Provide administrative support as needed, including scheduling meetings, preparing reports, and managing correspondence.
Skills:
· Proficient in Microsoft Office Suite, particularly Excel for project scheduling and tracking.
· Strong organizational and time-management skills.
· Excellent written and verbal communication abilities.
· Detail-oriented with the ability to manage multiple tasks and priorities effectively.
· Familiarity with time-tracking and project management tools is a plus.
