The Practice Management Coordinator, under the direction of the Senior Business Operations Manager for Acute Care, supports operations and projects for Hospital Medicine, CDU and ACC departments within Acute Care Services. Key responsibilities include assisting in the management of projects and efforts focused on improving efficiency and performance in and across clinical departments, managing and leading projects independently, helping with the development and ongoing monitoring of operational dashboards, partial management of providers’ schedules and coordinating schedule changes with internal functions; preparing and submitting administrative forms and documentation in support of clinical operations, provider practice, and provider onboarding. Supports department by conducting data analysis, assisting with process audit activities, schedules meetings and performs other general administrative & office duties, coordinating with business operations, nursing staff and physician leaders to support the daily needs of the departments.
The ideal candidate will have a BA/BS degree required or equivalent combination of education and experience; 2-4 years relevant experience; excellent organizational and written communication skills; and experience developing presentations for professional and executive audiences.
Major Responsibilities/Essential Functions:
- Work with Senior Business Operations Manager; assist in managing projects and initiatives relating to day-to-day operations of assigned departments as well as organizational and department-specific priorities.
- Lead and manage assigned projects independently. Project management includes but is not limited to developing and maintaining project plans, providing communications to team members and leaders, and maintaining organized project artifacts and documentation.
- Assist in the development and maintenance of department dashboards, to include working with analytics team to conceptualize end-product or make updates as needed or requested by department leaders. Routinely monitor dashboards and communicate trends, red flags, or inconsistencies in the data.
- Support assigned departments and department leaders with data gathering and organization. Conduct basic data analysis and presentation. Prepare presentations, communications, and meeting agendas among other duties to support the operations team and clinical departments.
- Supports changes to schedules with internal stakeholders and functions. Helps to identify changes to schedules that improve provider efficiency.
- Support FTE management process by entering Multi-Action Personnel (MAP) forms and reconciling budget and department FTE records.
- Review and enter all invoices in OneLink.
- Provide administrative support (calendar management, meeting coordination, travel arrangements, etc.) to department leaders as needed and requested.
- Order office supplies for assigned departments & teams and keeps offices adequately stocked.
- Assist with meeting management, including scheduling, preparing agendas, materials, and meeting minutes, ordering lunches etc.)
- Manage content of team communication vehicles (e.g., One Note sites, MS Teams sites, Intranet Microsites).
- Liaison for the maintenance of all office equipment, phones, pagers, and IT for the assigned departments & teams..
Minimum Education:
- BA/BS degree required or equivalent combination of education and experience
Minimum Work Experience and Qualifications:
- 2-4 years relevant experience
- Excellent organizational skills
- Excellent written communication skills
- Experienced developing presentations for professional and executive audiences
- Proven project management experience
- Comfort gathering and organizing data – demonstrated analytical ability
- Collaborator and ability to establish and maintain positive, professional relationships with team members and stakeholders across functional areas
- Demonstrated critical thinking and problem-solving skills
Preferred Work Experience and Qualifications:
- Work experience in health care preferred
- Proven track record of achieving objectives through motivating and supporting teams
- Proficient with the use of Excel, PowerPoint, and Word
