Job Description:
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.
- Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
- Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, and that clerical functions are properly monitored.
- Responsible for developing standards and promoting activities that enhance operational procedures.
- Allocate available resources to enable successful task performance.
- Answer phone calls and electronic communications from clients and community partners directing them to relevant staff as needed.
- Maintain office supplies and stationary ordering upon need; run errands relating to the business.
- Remain updated on technical and professional knowledge by attending educational workshops, joining professional associations, building networks with fellow professionals, and reviewing of industry publications.
- Participate actively in the planning and execution of company events.
- Additional duties and responsibilities as assigned by management.
Qualifications:
- High school diploma or equivalent required.
- Knowledge of office management systems and procedures.
- Demonstrated excellent verbal and written communication skills.
- Detail orientated and organized self-starter with the ability to prioritize.
- Time management, analytical, and problem-solving skills are required in order to service clients, leaders and clinical staff alike.
- Must be able to work a flexible work schedule including evenings.
- Must be able to work with diverse populations.
Physical Requirements:
While performing the duties of this job, the employee is regularly required to use a phone, read, write, speak, and listen; utilize a computer for creating data, typing, sending and receiving electronic communications. This position requires sitting for long periods of time, constant walking and the use of hands and feet, reach with hands and arms may be required to lift up to 15 pounds with or without assistance.
