To provide excellent customer service to both the property owner and tenant through facilitating and executing all maintenance processes.
- Check and respond to emails in maintenance email box frequently throughout the day.
- Monitor and respond to portal comments
- Check and respond to voicemails and maintenance que voicemail
- Manage and maintain open work order report
- Request bids as needed
- Communicate bids to owners and follow up for approval.
- Follow-up on vendor timing/action on approved tasks
- Manage and improve preferred vendor list
- Review and approve all invoices received to be billed
- Apply for municipal inspections as requested
- Help facilitate turnover processes w/ maintenance supervisor
- Filing, scanning, uploading documents to owner or tenant portals related to maintenance
- Communicate work order update to tenants
- Schedule inspection appointments and periodic walkthroughs
- Work with appointed staff with renewing and updating municipality information
- Facilitate communication for municipality/section 8 inspections
- Manage municipal annual inspections for all properties as required.
- Facilitate keys and garage remotes
- Inventory and track keys
- Bill all completed work orders and audit completed work orders
- Track labor, trip, upcharge, stock, call outs, and maintenance technicians’ hours
- Upload pictures on work orders received from maintenance technicians
- Track Home Depot & Lowes receipts as well as missing receipts
- Obtain property insurance/documents for existing and new vendors (ensure all records are obtained, such as workers comp, GL insurance & W9)
Education/Experience Requirements
- Minimum 2 years’ experience in a maintenance/construction setting preferred
- Associates/bachelor’s degree preferred
- Strong leadership skills

PAY IS NEGOTIABLE AND IS BASED ON EXPERIENCE
