HOURS: Monday- Friday, Fulltime 40 hours per week. Weekend/after hours on-call rotation required.
SCHEDULE: 9:30am – 6:30pm (or as assigned by GM)
POSITION SUMMARY
Under the supervision of the General Manager, the Trip Manager PM Dispatcher receives and processes transportation requests for student and/or staff transportation needs, bus driver records, dispatches bus drivers for trips; and assists in the coordination of routes for home-to-school bus transportation. The Dispatcher must communicate clearly and effectively using two-way radio, telephone, and written instructions, and must be able to read and understand Bus Route Maps. The ideal candidate will be punctual with great attendance, reliable, and courteous.
ESSENTIAL FUNCTIONS, MAJOR DUTIES AND RESPONSIBILITIES:
· Create and foster relationships with drivers, key stakeholders, frequent trip requestors, and outside vendors
· Create trip itineraries with assigned software (currently BusHive) and respond to all trip requests in a timely manner whether via BusHive, email, phone call, electronic message or other means as appropriate
· Assign trips fairly in a manner consistent with company policy and local seniority
· Ensure all bill-to / allocation data properly entered at onset of trip creation
· Confirm all trips ahead of time to ensure smooth operations as scheduled
· Once complete, enter all related time entries to ensure proper billing and assist Admin with billing calculations
· Create invoices on behalf of WMS Hart District to the school sites, programs, and/or outside entities based on contract rates & terms
· Coordinate with Operations team to ensure adequate coverage of routes and trips in connection with trip assignments
· Be available to take calls/make arrangements after hours (during trips) on a rotating basis
· Communicate schedules effectively with team
· Use a computer to input transportation requests and schedule the most appropriate available vehicles.
· Input and report problems with vehicles to appropriate mechanic.
· Assign bus drivers to various types of bus driving assignments and keep track of bus driver and maintenance mechanic attendance records.
· Take bus driver calls for information and assistance while they are driving routes and trips during the regular workday.
· Maintain and file records. Assist in the completion of required reports.
· Provide bus route information to parents, students, and staff upon request and provides trip routing information to staff members.
· Instruct drivers in operating procedures or schedule changes.
· Schedule vehicles as needed, input miles and hours for bus trips, vehicle trips, maintain schedules for drivers, contact and schedule sub drivers.
· Ensure facility is properly secured with no students left unattended in buses and calls forwarded each evening before departing for the day
· Perform other related duties as assigned.
· Occasionally required to drive a route or trip as assigned based on the daily needs of the operation
POSITION QUALIFICATIONS
· Minimum of one (1) year as a router or dispatcher.
· High School Diploma or GED equivalent.
· DOJ Fingerprint clearance
· Subject to DOT Drug and Alcohol Testing
· Successfully complete Pre-Employment Medical, physical agilities test and TB Test
· Commercial Class B License with Passenger and Airbrakes endorsement (must be obtained within 6 months of hire)
KNOWLEDGE AND ABILITIES
· Proper English grammar, punctuation, composition, vocabulary, and oral expression.
· Basic to advanced computer skills using Microsoft Suite, including, Word, Excel, etc.
· General office procedures and office machines (computer, fax, and copier).
· Santa Clarita/Newhall/Non-Public School District policies, rules and regulations
· Rules and regulations related to student transportation.
· Routing and scheduling procedures.
· Knowledge of Google Sheets, Microsoft Office, EZ-Routing, and BusHive
· School district geography and knowledge of Santa Clarita Valley
· Oral and written skills using tact, patience and courtesy.
· Financial and statistical record keeping techniques as it relates to transportation.
Ability to:
· Work confidentially with discretion.
· Dispatch and use two-way radios and other transportation communication devices.
· Perform clerical duties including proofreading for correct spelling and proper grammar.
· Analyze situations accurately and exercise good judgment in taking effective action.

· Make mathematical calculations quickly and accurately.
· Understand and follow oral and written instructions.

Physical Demands
· Dexterity of hands and fingers to operate a variety of standard office equipment.
· Reaching overhead, above the shoulders and horizontally, to retrieve and store files.
· Clarity of vision at varying distances to be able to monitor office visitors, bus drivers, and to operate a computer and other office equipment.
· Verbal, auditory, and written capabilities to effectively communicate in an articulate manner.
· Lifting of objects weighing up to 20 pounds.
· Sitting or standing for extended periods of time.
