Expanding specialized medical marketing & communications firm needs a Project Coordinator to assist with pharmaceutical and HCP programs and initiatives across Client Services. The Project Coordinator, Client Services provides support to assigned project teams by executing project related tasks. These tasks may be different depending on the team to which he/she is assigned and the nature of the projects under development. This position requires a high degree of accountability for overall success. This person should be a self-starter who drives the completion of assigned tasks.
Responsibilities will include, but are not limited to the following:
- Assist the Project Manager (PM) with submission and tracking of project deliverables through both internal and external resources including Medical, Editorial, Creative, Production, and Operations
- Assist the PM with the preparation and distribution of program materials
- Contact faculty for contracts, bios, W-9’s, consent forms, etc.
- Primary contact for hotel/meeting logistics for live events
- Act as additional "point of contact" with clients, designers, editors, web designers, vendors, & associations
- Adhere to the project timelines distributed by the PM
- Notify PM when timeline is in jeopardy, or if a date has been missed
- Modify timeline, in collaboration with PM, as needed
- Provide input to the PM in order to prepare comprehensive status reports and weekly status meetings
- Book internal travel arrangements, as needed
- Maintain and organize project-related folders on the server
- Process check requests and letters for faculty
- Develop and merge files for mailings and digital communications
- Attend client meetings or live programs, as needed
- Uphold PhRMA and OIG guidelines
Requirements:
- Bachelor’s degree (or equivalent work experience) in communications, marketing, or related field
- Must be proficient in Microsoft Word, Excel, and PowerPoint and basic PC connectivity procedures & internet search engines
- Proficient in database management
- Able to communicate effectively in person and in writing
- Excellent organizational skills
- Detail-oriented, proactive, dependable
Job Type: Full-time
Pay: $45,000.00 - $65,000.00 per year
