Summary of Position
The Administrative Assistant is primarily responsible for providing administrative and organizational support for the Purchasing and Estimating Departments.
Essential Duties and Responsibilities
- Responsible for all administrative support functions for Vice Presidents including answering phone calls.
- Prepare and distribute memos, letters, policy changes, reports, etc. for Purchasing and Estimating Departments.
- Prepare and distribute Vendor Grades using Excel and Outlook.
- Prepare and distribute quarterly rebate analysis.
- Maintain Purchasing Department vendor and product information files.
- Receive and distribute mail for Purchasing Department.
- Manage the office supplies for the Purchasing Department.
- Coordinate incoming vendor correspondence (such as acknowledgment letters), to ensure vendor/subcontractor policy compliance.
- Coordinate travel arrangements for Purchasing and Estimating Departments.
- Coordinate interdepartmental conference calls and meetings.
- Complete miscellaneous projects on an as needed basis.
- From time to time must complete projects with short notice in extreme time constraints.

Qualifications
- High school diploma or equivalent required; college degree preferred.
- Requires a minimum of 3 years of relevant administrative support experience.
- Demonstrated computer skills including a working knowledge of MS Office products, including Outlook, Excel, Word, and PowerPoint.
