Friendly and Growing Irvine Law Firm looking to fill the Receptionist/Administrative Assistant position. This is a fast-paced position, so the company needs someone quick on their feet who is able to multitask with minimal supervision.
The receptionist will be the first point of contact for the company and will provide administrative support across the organization. You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality, in a timely manner.
Reception experience is preferred but not required.
JOB RESPONSIBILITIES:
- Greeting clients and visitors in a friendly and professional manner
- Answering phones, monitoring voicemail inboxes and return calls. Respond to voicemails during periods when you are not directly answering the phone. Ensure messages are addressed in a timely manner, and pertinent information is forwarded to the relevant team members.
- Assist with client intake and client care follow-up as requested.
- Communicate professionally, in a clear and concise manner, with potential and existing clients
- Oversee the process of incoming and outgoing mail, confirming that all client correspondences and court documents are accurately addressed and promptly sent out.
- Work independently with minimal supervision.
- Maintain a professional work environment at all times and comply with the company's dress code policy
- Demonstrate prompt and consistent attendance
- Be a team player, dealing effectively with co-workers and clients at all levels·
- Perform administrative duties (filing, photocopying and faxing) in an efficient and timely manner
- Manage office supplies
- Open and close the office each day
- Identify challenges and solicit assistance for resolution
- Complete word processing tasks (correspondence, reports, memo, proposals, charts, agreements, spreadsheets etc.)
- Maintain electronic and hard-copy filing systems conducive to individual needs with supervision·
- Accept payments and issue receipts when needed
REQUIREMENTS:
- Strong customer service skills
- Strong oral and written communication skills (spelling, grammar and punctuation)
- Computer proficiency in Google Workspace applications (Drive, Docs, Sheets, Chat, G-mail) and any business unit specific required software.
