JOB SUMMARY
The Front Desk Receptionist is responsible for responding to requests from residents and guests, answering phones, handling and documenting financial transactions, responding to and documenting emergencies, completing varied administrative duties, and communicating with various staff members on a regular basis.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
- Operate the telephone system and answers all phone calls with courtesy and according to established requirements and procedures.
- Handle varied requests and situations as they arise, and communicate key information to necessary staff.
- Provide resident assistance in times of need and/or during emergencies.
- Coordinate and supervise emergency situations as they arise. This may include calling 9-1-1 to come to a resident’s assistance, reassuring the resident calm during situation, and any other behavior that results in an efficient solution or resolution.
- Respond to fire alarm emergencies in accordance with established policy and procedure, and reset the audible and flashing alarms when false alarms occur.
- Document all resident maintenance or housekeeping requests.
- Document all emergencies, incidents, resident behaviors, or other necessary notes to keep staff informed of the day to day happenings.
- Pleasantly greet all residents, guests, healthcare individuals, vendors, and others who enter the building.
- Ensure that residents’ guests sign in and out, obtain a visitor badge while in the building, and return the badge upon their exit.
- Handle financial transactions (receiving rent payments, selling meal tickets, processing guest room payments, etc.)
- Ensure that housekeepers check in and out appropriate keys to resident apartments.
- Stay knowledgeable of resident events, activities, outings, and socials.
- Complete a variety of administrative tasks as assigned, including updating and printing a variety of documents.
EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES
The following are the minimum levels required to successfully perform the Essential Job Duties and Responsibilities:
- A high school diploma or its equivalent
- Two years experience as Front Desk/Receptionist or equivalent customer service work
- Cash handling experience
- Excellent interpersonal communication skills
- Ability to interact effectively with the senior population, particularly with patience and empathy
- Ability to establish a professional rapport with residents
- Reliability and flexibility with shifting tasks and responsibilities
- Ability to manage emergencies while remaining composed
- English fluency and ability to follow oral and written directions.
- Ability to multi-task and stay organized in a fast-paced and changing environment.
- Ability to use a computer, email, and the Microsoft Office Suite.
- Demonstrate a high degree of initiative, judgement, discretion, and decision-making.
- Consistently demonstrate teamwork and positive day-to-day working relationships with co-workers, managers, residents, resident family members and friends, and vendors.
Part-time schedule is as follows: Saturday, Sunday, and Monday 1pm - 9pm
The ideal candidate would possess some flexibility (i.e., cover shifts when co-workers are absent or on vacation, etc.)
