Job Overview
Jet Mortgage a DBA of Home Mortgage Alliance Corporation (HMAC) has an immediate need for an Administrative Assistant in our Santa Ana, CA office.
In this role, you will be the first point of contact.
Core Work hours will be from 9:00 am- 6:00 pm, Monday- Friday.
Responsibilities:
- Answer phones and greet visitors and staff in person.
- Open and close the office.
- Document and report any office maintenance issues.
- Maintain office supplies and place orders as needed.
- Review and enter data from documents into systems.
- Decorate for special events, birthdays, and holidays.
- Schedule meetings and reserve rooms.
- Transfer incoming calls to appropriate departments and maintain call logs.
- Assist in preparation of reports, correspondence and other documents using MS Office (Word, Excel and PowerPoint).
- Directs visitors by maintaining employee and department directories.
- Receive and distribute various communications received (calls, fax, mail, packages etc.)
- Check voicemails in the morning and distribute messages to the appropriate people.
- Printing, scanning and shipment of completed documents.
- Provide administrative support to all levels of staff.
- Performs other duties as assigned.
Qualifications:
- High school diploma or equivalent
- Proficiency in MS Office (Outlook, Word, Excel, PowerPoint)
- Polished and professional demeanor in person and over the phone
- Possess excellent verbal and written communication skills
- Strong organizational skills and ability to multi-task
- High attention to detail
- Customer service focus
- Basic math skills
