Position Overview:
The Project Manager (PM) leads and executes multiple projects with varying timeframes and individual requirements. The Project Manager is an accountable leader and strategic business partner fully vested in organizational success— and able to deal with inevitable setbacks. The professional is fully vested in the success of completing the project which involves driving engagement, resilience, and the ability to maintain a high level of client satisfaction. Integrity, decisiveness, good judgment, the ability to form a vision and execute it, confidence in your own competence are hallmarks of the type of Project Manager who would be highly effective at LightStyle.
Routinely, the PM completes due diligence to validate the order details and communicates with project partners to release orders, process change orders, review project billing, and troubleshoot technical issues. The PM evaluates project documents for completeness and conformity, collaborating with a variety of project partners and gaining their input. Attention to detail, facilitation and assertiveness are employed when validating data for orders. Organizational skills are critical strengths of a PM, as he/she must track project details, operate accurately and quickly retrieve data. Planning abilities along with flexible adaptation to change are equally important. Recognizing failure or taking the necessary steps to resolve the discrepancy between actual progress and planned progress, involves adjusting resources, finding the root cause, putting in extra effort, taking personal responsibility, and demonstrating maturity. As the primary contact of the project, the PM is responsible for positively impressing discerning customers and other project stakeholders, such as the electrical and general contractors, designers, architects, vendors etc. There is a need to comfortably withstand pressure and think strategically to deal with unforeseen setbacks, answerable when the customers are unhappy about the project outcomes. A vital element of project management is the ability to prioritize tasks optimally and balance competing priorities when needed. The PM must be a confident communicator, and an active listener to what is being said — and not said — and taking context into account. Listening to others’ views and considering their experiences and knowledge helps to reduce potential blind spots and increases the likelihood of project success. Most projects will have gray areas you will need to navigate at some point. Issues with external constraints and complexities, remote project limitations, conflict, and ambiguity — these and other uncertainties will almost certainly be encountered. A typical day for a PM is varied, interdependent, fast paced, with plenty of problems to solve. Coupled with the necessary technical skills, a strong foundation in project management will enable you to adapt to the continually changing dynamics of complex projects.
Essential Functions:
· Manages multiple complex projects and timelines simultaneously.
· Communicates timely with project stakeholders while professionally facilitating the flow of critical information.
· Develops strong working relationships with project stakeholders.
· Provides technical support throughout the project while collaborating with vendors for input.
· Creates proposals, change orders, RFI’s and submittals with attention to part information.
· Coordination of information to the necessary project partners for input and sign-off.
· Creates and manages orders, purchase orders, and ship schedules.
· Coordinates shipments to job sites by working with vendors to obtain shipping dates, and notes on open shipments, inspections, photos, and acceptance.
· Reviews progress billing, tracks and adjusts shipping charges and resolves billing matters promptly.
· Maintains current, organized, complete electronic project files.
· Seeks to increase architectural lighting knowledge continually.
· Maintains confidence of sensitive data and behaves professionally.
· Influences a variety of stakeholders for project success. Motivates workers over whom you have no direct influence yet who can make or break a project. You must instill confidence in the minds of stakeholders and demonstrate respect for team members to maintain professional integrity.
· Delegates work to administrative specialist for submittals, installation guides, ship schedule, sample, O&M etc.
· Performs additional associated duties as required.
Requirements & Qualifications:
· High school graduate required.
· Minimum of 3 years’ full-time experience managing projects.
· Experience solving analytical problems of moderate to high complexity, exercising independent judgement.
· Minimum of 3+ years of customer service experience required.
· Team player, interdependent, flexible, collaborative, adaptable, with ability to also work independently.
· Strong fundamental technical knowledge of lighting fixtures, controls and electrical preferred, not required.
· Ability to troubleshoot issues to resolution.
· Ability to perform take-off’s and read construction plan sets and specifications.
· Strong written and verbal communication skills with follow-up abilities to complete tasks.
· High detail orientation and accuracy abilities.
· Organization skills.
· Proven ability to work accurately and efficiently in a fast-paced, deadline-driven environment.
· Work ethics to meet the needs of this client-driven business. Exempt position requiring extra hours as needed to complete the work at hand.
· Proficient with MS Office (Word, Excel and Outlook), internet searches and intermediate computer systems skills.
· Travel is not required but engaged in as needed.
