St. Mary of the Assumption Parish, in Pylesville, MD, is seeking candidates for an administrative position in the parish office. This is a part-time, non-benefit eligible position, with 19 hours/week (2.5 days/week). The Administrative Assistant (AA) warmly engages those who visit or call the parish office, giving appropriate assistance, and provides administrative support to the Pastor, Business Manager, and Parish Staff for the well-ordered operation of parish life.
Essential Functions
Primary Responsibilities
- To be a welcoming, helpful presence to all who call or visit the parish office
- To coordinate intake process for baptisms, weddings, funerals and parish registration
- Maintain and gradually digitize the parish calendar
- Prepare the weekly church bulletin
- To receive, distribute, and send incoming and outgoing mail
- To attend staff meetings, and take/distribute minutes to the staff
Main Support Responsibilities
- Preparing and maintaining Sacramental Records
- Assist in coordinating weekend Masses, funerals, and weddings, and other liturgical events as needed
- Assist with parish database
- Assist in coordinating volunteers, e.g. liturgical ministers
- Assist, as able, in the administration of parish ministries such as Faith Formation, Youth Ministry, parish and community engagement
Position Qualifications
- Minimum of a high school diploma or equivalent
- Excellent communication and interpersonal skills
- General knowledge of Catholic life, ministries, and liturgical calendar and practice
- Excellent discretion and ability to maintain appropriate confidentiality
- Ability to work collaboratively with clergy, staff, and volunteer leadership
- Ability to set workload boundaries to maintain priority activities
- Computer competency in Microsoft Office, Google Workspace, and general internet use
- Ability to learn Church-specific software and database systems
- Must be a practicing Catholic, modeling Christian attitudes and behaviors, and adhering to the Archdiocesan Code of Conduct
