Surgical Technology Clinical Coordinator
Reports to: Surgical Technology Program Director
Position Summary:
The Surgical Technology Clinical Coordinator is responsible for the management of Surgical Technology externship sites and students for externship (clinical) rotation. Responsibilities include clinical site acquisitions, maintaining records of executed affiliation agreements, relationships with exiting clinical sites, and required pre-site use, and ongoing use visit forms, as required by ACCSC. The role manages student orientation for clinical sites, student assignment of clinical sites, ensuring students obtain the required hours while on externship and assisting the Program Director in scheduling certification testing for students.
Primary Role
The primary role of the Clinical Coordinator includes:
· Developing and maintaining clinical sites and affiliation agreements for Surge Tech students. Ensuring new sites are visited and documented with the pre-site use form as is required by ACCSC.
· Requires developing clinical site opportunities, maintaining relationships with clinical sites and maintaining healthy communications with clinical sites in order to support student clinical experiences to meet course clinical objectives
· The Clinical Coordinator prepares and maintains schedules for current and upcoming student clinical rotations. Monitors student time and cases on sites as compared to program requirements. Works to ensure students are progressing through their externship as is required for successful completion of the program. Maintains records of clinical requirements for students.
· Prepare students for externship by scheduling orientation, managing the process to assign students externship sites two weeks before externs begin and ensuring students begin extern on time
· Assists clinical sites in addressing students' abilities to assume clinical assignments, including, but not limited to, educational preparedness and physical, mental, and emotional behaviors
· Work with the Program Director to provide graduation paperwork upon final externship in order that students graduate on time.
· Ensure students are scheduled to test for the certification exam in the last week of the final externship.
· Visiting each student on sites in order to provide site evaluations as is required by ACCSC.
· The Clinical Coordinator is responsible to ensure that student files contain the current, required documentation related to the clinical experience.
· The coordinator may be called upon to teach in the program as assigned by the Program Director.
Essential Duties and Responsibilities:
Specific duties include, but are not limited to the following:
1. With support from the Program Director, renew and create new clinical affiliation agreements and relationships;
2. Assure that all clinical contracts are complete, in the approved legal format, up-to-date, and appropriately filed. This includes periodic review of expiration dates, placing contract copies on the designated server, maintaining the “master list” of clinical agreements (using a format such as Google Drive or Excel), and maintaining the “binder” containing printed copies at the campus;
3. Perform regular site visits to existing clinical sites and identify opportunities and take appropriate action to enhance the efficiency and quality of the clinical relationships;
- Collaborates with clinical partners to schedule clinical rotations for each mod, and to maintain current relationships for future clinical opportunities
- At the direction of the Dean, perform regular audits to ensure compliance with policies and accreditation standards relating to required clinical documentation for student and program files;
- Maintain positive relationships with existing clinical partners, serving as the lead in relaying concerns or suggestions from the clinical sites to the Program Directors for the program.
- Collaborate with clinical partners to develop the clinical schedules, assure reporting accuracies, and distribute schedules to students in a timely manner.
8. Finalize site assignments for students at least two weeks in advance of the externship start;
- Appropriately address scheduling issues related to students during clinical rotations;
- Communicate with students on a regular basis regarding clinical requirements such as extern assignments, hours, immunizations, etc.;
- Notify the Program Director of any issues or concerns regarding timely completion by students on externship;
- Coordinate clinical appreciation efforts with clinical sites;
- Participate in regularly scheduled meetings with campus Administration, participate in faculty meetings;
- Communicate with managers, students and clinical sites in a timely manner, responding to all phone calls and e-mails within 24 hours;
- Participate in administrative and faculty-related activities including campus committees as needed or requested.
- Works effectively as part of the overall faculty team demonstrating positive interpersonal relations, collaborating with other faculty members to meet student needs, participating in faculty meetings and program committees, and responding to requests from management.
- Conduct routine visits to the clinical sites to observe and document the clinical faculty and students to assess if objectives are being met and the clinical facilities satisfaction with faculty and students’ performance.
- Attends workshops and in-service education aimed at earning the necessary CEU’s for license requirements and professional growth.
- Perform additional duties as assigned by the Program Director or Dean of Education.
- Maintain regular and reliable attendance.
Skills/Competencies/Qualifications:
1. Proficient in use of Microsoft Office applications, especially Microsoft Excel.
2. Able to communicate effectively verbally, through writing and through learning technologies such as computers and e-mail.
3. Detail-oriented with the ability to multi-task in a dynamic and fast-paced environment.
4. Very strong organizational and time management skills.
5. Maintain confidentiality with respect to all business and student records.
6. Experience in successfully managing complex projects.
7. Able to pass an application verification including background check and drug screen.
8. Able to work effectively with clinical agencies, staff, faculty, and students as a member of a team.
9. Experience in public relations is preferred.
To perform the essential competencies and responsibilities of the position, the Clinical Coordinator is frequently required to sit, bend kneel, reach, stand for long periods, walk, talk, hear, use hands and fingers to operate computers and/or audiovisual equipment. Because this position will involve local travel using the Clinical Coordinator’s own vehicle; the Clinical Coordinator must be able to safely operate a motor vehicle. Mileage to / from a clinical site will be reimbursed consistent with policies in the EA Employee handbook.
Qualifications:
- Two years of clinical experience
- One year of teaching experience
- Possesses an unencumbered driver’s license.
Classification: Exempt
Work Hours: Work hours are typically Monday-Friday with 8a – 5p
Travel: This is a campus-based position with regular visits to clinical sites required.

Pay: $65,000.00 - $70,000.00 per year
