Job Summary:
Join our dynamic team as an Administrative Assistant where you will play a crucial role in supporting the efficient operation of our office. We are seeking a detail-oriented individual with strong organizational skills to assist in various administrative tasks.
POSITION DESCRIPTION
Under the supervision of the Head Start Director, provides routine to moderately complex clerical and secretarial support services within the program; assists with special projects and programs as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assists management team in the coordination of training and orientation for newly hired staff;
- Maintains licensing files for all staff, including paper and files and Child Plus tracking; coordinates licensing trainings that are internal, external or online; and prepares yearly licensing applications;
- Enters data in Child Plus as requested; analyzes data for report preparation and runs reports for management as needed;
- Types, prepares and/or proofreads routine correspondence, reports, etc.;
- Stocks and orders office supplies;
- Assists Supervisors and the Director with the organization and process of purchase orders and check requests; prepares procurement for purchases;
- Performs other clerical work as required, including but not limited to copying and filing documents, receiving and distributing mail, preparing out-going mail, assembling materials, travel proposals, etc.
- Assists with putting together annual documents such as annual reports and self- assessments;
- Sets up training and meeting locations; assists with Policy Council meetings;
- Assists management staff with program projects as assigned;
- Attends staff meetings and in-service training as required; sets up training and meeting locations;
- Maintains a neat and orderly office environment;
- Performs other duties as may be assigned.

JOB REQUIREMENTS/SKILLS
Ability to:
Work as part of a team and maintain effective relationships with others;
Learn and apply the policies and procedures of assigned program area;
Understand and follow oral and written instructions and read and interpret various materials pertaining to the responsibilities of the job;
Operate office equipment, including a multi-line telephone, computer, printer, fax machine, etc.;
Organize and maintain filing systems, assemble and analyze information, prepare reports and records in a clear and concise manner, maintain confidentiality concerning client records and operations, and communicate effectively in written and oral form;
Perform required mathematical calculations quickly and accurately;
eact calmly and professionally in emergency or stressful situations.
Knowledge of:
Basic principles of recordkeeping and report preparation;
Proper grammar, spelling and basic mathematics.
WORK ENVIRONMENT
Normal office environment.
EDUCATION AND EXPERIENCE
High school diploma or equivalent and previous experience in an office setting; nonprofit experience preferred.
PHYSICAL DEMANDS
Requires the ability to exert some physical effort, such as walking, standing and light lifting; minimal dexterity in the use of fingers, limbs and body in the operation of the office equipment; may require extended periods of time at a computer.
