Position Summary
The Parish Office Manager is responsible for providing courteous and professional front office support to staff and parishioners, embodying the radical hospitality of Jesus Christ. They oversee all functions from the main office to ensure parish operations are smooth, effective and cost efficient to help us achieve our purpose to build the Kingdom of God. The manager anticipates needs and pro-actively maintains the front office in a way that allows staff to efficiently perform their roles. The manager maintains a high level of flexibility, focus, and attention to detail in all tasks. They are also responsible for setting up systems and procedures that ensure the parish can function smoothly.
Responsibilities
· Interface in a friendly, hospitable, and supportive fashion with parishioners as needed.
· Maintains a thorough understanding of everything that is happening within the Parish in order to best respond to inquiries and guests
· Identify, define and develop funding sources to support existing and planned program activities as well as lead the development, writing, and submission of grant proposals to federal, state, and private funding agencies.
· Responsible for overseeing campus IT to ensure all hardware and software is appropriately maintained and utilized as well as stay up to date on current technology offerings to ensure we are well positioned for the future
· Management: oversees & provides strategic direction to part time employees who work the front desk at night, on the weekends and at other times as assigned. This includes scheduling, onboarding, communicating, delegating tasks, etc.
· Sacramental Assistance: handles intake requests for funerals and schedules services. Coordinates with liturgy team for day of needs for the deceased. Supports staff and parishioners with sacramental certificate requests & requirements.
· Ministry Support: Responsible for the Friday Hospitality ministry to ensure that it is a fruitful, engaging and a growing part of the Saint Clement Community. This includes volunteer coordination and day-of operations.
· Parish Office Responsibilities are included, but not limited to, coordinating church tours, printing & folding Orders of Service or special booklets, mailings & postage machine, keys & parking passes, petty cash, weekly counting of collections, and office machines.
· All other responsibilities as assigned.
Requirements
· Passionate about and committed to the Mission of the Catholic Church, Saint Clement and the Archdiocese of Chicago.
· Demonstrates understanding, respect and support for Catholic Church teaching, mission and values.
· Bachelor’s Degree from an accredited college or university, or equivalent work experience.
· Minimum three years of experience in office management.
· Ability to engage with others and communicate effectively in person and in writing.
· Detail oriented and able to work independently.
· Able to organize workflow and manage variety of tasks concurrently.
· Proficient knowledge of Microsoft Office programs, including Word, Excel, Outlook.
Job Type: Full-time
Pay: $50,000.00 - $65,000.00 per year
