ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Assist the Chief Diversity Officer & Director of Inclusive Excellence in coordinating strategic plan initiatives, informational reports for the board, budgeting, invoice processing, policies and benchmarking. Sends invitations, take reservations, room scheduling record revenues, coordinate menus, compile receipts and manage monthly report for department credit card and other associated details.
- Coordinate multiple input requests for the Inclusive Excellence department by (collecting information for assessment and planning purposes, drafting documents for review etc.).
- Provide key organizational support to the dept. in aligning the Committee's strategic goals with stated Inclusive Excellence commitments.
- Coordinate day to day operations for Chief Diversity Officer & Director of Inclusive Excellence. Overseeing communications (emails, phone calls, etc.), coordinating schedules, scheduling meetings, handling correspondence internal and external and responding independently when possible and other efforts as needed.
- Create and coordinate communication and distribution of resources with internal and external stakeholders in support of departmental activities (i.e.. MLK Events, Juneteenth Events, Kente Graduation Ceremonies, Affinity Celebrations, etc.) reserve facilities, order food, prepare materials, certificates, etc.
- Work with other departments to help publicize diversity-related events, educational opportunities, workshops, etc.
- Assist to and develop strong relationships with internally developed resource groups and respond to diversity- and equity-related issues as they arise and report to Chief Diversity Officer
- Manage the details and assist in coordinating efforts to support the Jackson College Affinity Groups Provide strategic direction to Affinity Group committees: plan meetings, recruit new members, provide direction for the year and staff all events.
- Maintain current contact information, meeting invites, meeting minutes, and other aspects of the Inclusive Excellence initiatives and committees.
- Manage logistics and draft memos/presentations for department events, meetings, and trainings.
- Acting as first line of support for the various affinity groups and task forces to assist them in completing their objectives and deliverables.
- Work in collaboration with the marketing team to create quarterly newsletter, infographic snapshot and annual report to keep staff updated on Inclusive Excellence programs and activities.
- Assist in the development of special publications including soliciting advertisements, when appropriate. Assist in maintaining web page for Inclusive Excellence department.
- Excellent interpersonal and customer service skills and strong organizational skills. Possess the ability to work with a high volume of contacts with a wide range of constituents.
- Responsible for understanding, supporting and actively demonstrating the College’s beliefs, values, mission, and vision and being in agreement to be evaluated by same.
SUPERVISORY RESPONSIBILITIES
This person is responsible for the supervision of student employees.
CONTACTS AND PURPOSE OF CONTACTS
Internal: Frequent and numerous contacts with faculty, staff and students occasionally in stressful circumstances in person, phone, e-mail, memo/letter, etc. Contacts with College personnel.
External: Contacts with students, local businesses, members of the community and representatives from area schools in an information receiving and disseminating capacity.

Education and/or Experience
Associate degree or equivalent from two-year College or technical school required; two or more years related experience and/or training; or equivalent combination of education and experience. Bachelor’s Degree preferred.
Other Skills and Abilities
Must be able to work independently to complete assignments in a timely manner. Work in coordination with others in a team atmosphere. Must be able to function under pressure and to manage stressful or delicate situations.
Language Skills
Excellent written and oral communication skills and note taking skills as defined by the supervisor. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.
Computer Skills
Must have experience with personal computers. Knowledge Microsoft Office™ including Word™, Excel™ Internet Explorer, Publisher, Outlook, PowerPoint, and Access™. Knowledge of and skills in web page development and graphic design is preferred. Experience creating, developing and hosting virtual meetings on sites such as ZOOM and Microsoft Teams.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest, commissions proportions, percentages, area, circumference, and volume. Ability to apply concepts to basic algebra and geometry.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
