Local electrical contracting company looking for an experienced Office Support Coordinator.
The qualified person will have administrative experience working in the trade industry (HVAC, Plumbing, and Electrical), or any related servicing field scheduling jobs for technicians and invoicing customers. Field Service Management software experience is a PLUS. Estimating, Scheduling, Dispatch, & Invoicing skills are a MUST.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Perform all work duties and activities following the company policies and procedures
- Run various reports to ensure accurate account statuses of all open jobs/proposals
- Independently respond to email correspondence to companies satisfactory
- Manages and data entry Invoices and Estimates
- Receive and distribute incoming and outgoing mail
- Provide phone calling/ answering services
- Schedule electrical projects/jobs
- Working knowledge of Adobe is a MUST
- Other duties as required
JOB SCOPE
Job has recurring work situations involving moderate degrees of discretion. The need for accuracy and effective utilization of accepted programs and procedures is high. Education and Experience
- High School/GED required
- (5) years of experience in a professional office is required or equivalent skill, knowledge, and experience
- Georgia Notary Public is a PLUS or must be obtained after 6 months of hire
Knowledge, Skills and Abilities
- Use logical and creative thought processes to develop solutions according to written specifications and/or oral instructions
- Communicate effectively, both orally and in writing
- Exemplary customer satisfaction skills, including dealing effectively with the public, both in person and over the telephone
- Skill in operating modern office equipment; Microsoft Office to include Excel is a MUST.
- Accurate in performing accurate typing (60 wpm) and/or data-entry work
- Proper spelling, grammar, and punctuation usage. Basic mathematical computations, accounting and record keeping
- Ability to maintain confidentiality
- Frequently required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk and hear
- Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus
- The noise level in the work environment is usually low
