MacLaren Youth Correctional Facility is seeking a dedicated and organized Office Support Specialist to perform secretarial and support functions for our administrative offices. The ideal candidate will demonstrate reliability and punctuality, possess strong organizational skills, and be effective in communication and collaboration within a diverse team. Attention to detail and the ability to prioritize tasks and manage deadlines are essential.
The Office Support Specialist will be responsible for responding to records requests for youth files, ensuring adherence to agency policies on records management, and maintaining confidentiality. Duties include receiving and tracking requests, redacting and scanning records, and communicating with requesters regarding costs and information releases.
Additionally, the specialist will conduct face-to-face interviews with new youth, defusing potentially hostile situations to gather accurate information for data entry into our computer database (JJIS). The role involves updating youth information, managing facility files, photographing youth, and ensuring security protocols are strictly followed.
Other responsibilities include maintaining the filing system for youth records, greeting and directing visitors, screening and routing phone calls, sorting and distributing mail, and handling money for youth trust accounts. The successful candidate will be proactive in seeking help when needed, committed to continuous learning, and capable of making procedural recommendations within prescribed limits.

Day In The Life:
- Respond to Records Requests for Youth Files
- Follow and inform agency policy on records management and tracking to ensure appropriate protection of confidential files and release of information.
- Conduct Interviews, face-to-face with new youth coming into facility
- Greet, answer questions, and direct visitors (families, public and vendors) to the facility

What We Are Looking For:
- Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR
- An associate degree in any field; OR
- An equivalent combination of education and experience.

Working Conditions:
