Responsibilities
The primary role of the Enrollment team is to enroll students in internship and study abroad programs through direct marketing and university partnerships. The Enrollment Coordinator is the first point of contact when speaking with interested students, parents or university advisors and acts as the expert and primary liaison for all inquiries.
The Enrollment team works closely with the University Relations team to fully serve university partners in their region, through communication/marketing, campus visits, advisor trainings and working with student applicants from universities in their region. This role is critical in meeting the overall organization growth.
This position is full time, Monday – Friday, 9am-5pm (usually). This is a remote position based regionally. This position requires US and occasional international travel, by car and/or airplane, estimated at 30% seasonally - some nights and weekends may be required based on flexible work schedules and seasonal business needs/position requirements.
Primary Job Functions
Student Enrollment (70%)
- Successfully enroll participants in the programs to contribute to total organizational goals and individual goals and KPI’s (key performance indicators).
- Act as an informational resource and expert on programs to all parties: students, parents, and study abroad/career services advisors.
- Qualify incoming leads and reach out to qualified applicants over phone and email.
- Conduct enrollment interviews for internship programs, guide potential interns through the process to prepare them for their program.
- Provide guidance, information, documentation, and support for study abroad applicants.
- Manage all communication and data through web-based customer relationship management (CRM) software.
University Relations (25%)
- Work closely with Regional Enrollment Manager and Regional VP of University Relations to strategically support enrollment and partnership in the region.

Act as point of contact to university advisors related to program logistics and student enrollment.
- Inform universities of students enrolled and associated program details
- Potentially responsible for onboarding program participants online, by phone, or in-person
- Assist in the delivery of informational webinars, career development sessions, advisor training, orientations, and information sessions online or in-person
- Develop enrollment processes and help applicants through approval process
- Communicate with regional team all relevant enrollment and applicant patterns and trends, communicate trends with marketing when necessary
- Attend university study abroad fairs and other outside events to further partnerships, collect leads, and conduct follow-ups.
Marketing (5%)
- Assist with research, analysis, and reporting of inquiry / enrollment trends and build marketing / outreach campaigns against trend data as required.
- Complete basic marketing tasks as assigned for key university partners and assigned universities.
Expectations for the Role
- At 30 days you will have completed training and will be speaking with applicants
- At 60 days you’ve started meeting with university partners in your region
- At 90 days you’ll be receiving a full volume of leads and expected to have mastery over your applicants
- By one year you’ll have helped your region grow enrollment by 3%
Your productivity will be judged on the following:
- Your ability to convert on applications and meet individual enrollment and team goals.
- Strategically increase participation from assigned university relationships.
- Ensuring all intern and study abroad applicants have a full understanding of the process and program, while managing their expectations.
- Quality of information relayed ability to spot patterns and trends and communicate them effectively.
- Working in tandem with assigned regional team for increased efficiency.
- Constant organization of and outreach to all assigned leads.
- Continuous innovation of processes.
- Other duties as assigned finished in a timely manner and correctly.
Qualifications & Experience
To be successful in this role, we would like you to have:
Bachelor’s Degree required
Minimum of two years’ experience in a professional environment with a strong preference given to those with prior sales or university administration experience, phone training and/or AIFS alumni.
Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment
Experience working with students of diverse backgrounds who have been historically underrepresented in education abroad programming
Minimum of two months studying, travelling or living abroad continuously to be considered for this position. It is critical you can naturally relate to the impact this experience will have on our students from personal experience, thus short vacations abroad will not suffice.
Excellent communications and behavioral skills. This position requires a self-motivated and self-sufficient person with a confident personality. You are comfortable speaking with people on the phone, email and face to face. You can communicate professionally and effectively with all parties whether it be program participants, parents, your colleagues or other professionals.
Exhibited flexibility, responsibility, adaptability and an understanding of the importance of relationship building.
Demonstrated organization skills. You will be working with a high volume of students and a fast-paced environment. During busier months you can expect to be on the phone for 5+ hours a day. You must be able to stay organized, manage your time, and work efficiently. Data will be required to be up to date at all times.
Preference will be given to those with:
Experience in a sales environment.
Experience working with HubSpot.
Experience working within a college/ university setting or with faculty, staff or administrators.
Attended a university in your geographic region.
Experience using Canva or similar platforms to create social media content, flyers, etc.
Understanding of inbound marketing concepts including SEO, blogging, social media, lead nurturing, email marketing, buyer personas, landing pages, calls-to-action.

Working proficiency in Spanish.

What to Expect from Our Recruitment Process

2. Resume review: If your application meets our criteria, you will be you will be asked to submit a 5-minute recording responding to a prompt.
3. Phone screening: You will be contacted for a 15–30-minute phone call to review your candidacy and you can ask any questions about the role.
4. First interview: Successful candidates will be invited to a video with a panel of AIFS staff. Usually 60-90 mins.
5. Assessments: Successful candidates will be asked to complete strengths and personality assessments.
6. Second Interview: Successful candidates will have one or two final interviews with AIFS leadership.
7. Final step: Successful candidates will be emailed with an offer letter.
8. Training: Once selected for the role, you will be expected to visit the main AIFS offices in CT and MD for a training period of up to 2 weeks.
