We are seeking a dedicated and friendly individual to join our dental practice as a Call Center Representative. The primary responsibility of this role is to handle incoming calls from patients, schedule appointments, answer inquiries about dental services, and provide exceptional customer service. The ideal candidate should possess excellent communication skills, empathy, and the ability to multitask in a fast-paced environment. This position plays a vital role in ensuring positive patient experiences and maintaining the efficiency of our dental office operations.
Responsibilities:

Calling patient to schedule their dental appointments

Answer incoming calls from patients and provide assistance with scheduling appointments, rescheduling, or canceling appointments.

Listen attentively to patient inquiries, address concerns, and provide accurate information regarding dental services, insurance coverage, and billing inquiries.

Maintain patient records and update demographic information, insurance details, and appointment notes in the electronic health records (EHR) system.

Collaborate with dental staff to ensure appointment scheduling aligns with provider availability and patient needs.

Follow established protocols for handling urgent or emergency calls, including providing first aid instructions and coordinating immediate care with dental professionals.

Provide excellent customer service by demonstrating empathy, professionalism, and patience in all interactions with patients, family members, and caregivers.

Maintain confidentiality of patient information and adhere to HIPAA regulations and guidelines.

Assist with administrative tasks such as confirming appointments, sending appointment reminders, and managing voicemail messages during off-hours.

Participate in ongoing training and professional development opportunities to enhance job knowledge and customer service skills.

Collaborate with the dental team to identify areas for improvement in patient communication, appointment scheduling processes, and overall patient satisfaction.
Requirements:
- High school diploma or equivalent.

Prior experience in customer service, call center, or healthcare-related field preferred.

Excellent verbal and written communication skills.

Strong interpersonal skills and the ability to interact with patients from diverse backgrounds with empathy and compassion.

Proficiency in using computer systems, electronic health records (EHR), and basic office software applications.
